Who we are
Closr is operated by OJH Consulting Sdn Bhd (Registration No. 202401007723 (1553573-U)), a company incorporated in Malaysia. This policy covers the Closr website at aiclosr.ai and the Closr application (together, the “Service”). We are the data controller for account data, and a processor acting on your instructions for the calendar, mailbox, and meeting content you connect.

What we collect
Account data
- Name, email address, password hash or federated sign-in identifier, profile photo, timezone, company name, and booking-page settings.
- Plan, subscription status, and billing records. Card details are entered directly with our payment processor and are never stored on our servers.
Booking data
- Details submitted by people who book time with you: name, email, any answers to your booking questions, and the meeting location or address they supply.
- Meeting metadata — times, attendees, conferencing links, attendance and show-rate signals.
Connected-account data
- Calendars you connect (Google, Microsoft): event times, titles, attendees, and busy/free status, plus events Closr writes on your behalf.
- Mailboxes you connect (Gmail, Outlook): messages related to your contacts and deals, used to build your CRM timeline and to send email you compose or approve.
- Meeting recordings and transcripts, where you enable the AI note-taker or the AI voice assistant, together with the summaries, action items, and analysis generated from them.
Usage data
- Log data, device and browser information, IP address, and pages viewed on your booking pages. We use strictly necessary cookies for authentication and session management.
Google user data
Closr requests only the Google scopes it needs to function, and uses the data solely to provide the features you turn on. We do not sell Google user data, use it for advertising, or transfer it for any purpose other than those below.

Limited Use
Closr’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We use Google user data only to provide and improve the features you have enabled.
- We do not transfer Google user data to third parties except as necessary to provide those features, for security purposes, or to comply with applicable law.
- We do not use Google user data for advertising, and we do not sell it.
- We do not use Google user data to develop, improve, or train generalized artificial intelligence or machine learning models.
- No human reads your Google user data except where you explicitly ask us to (for example, in support), where it is necessary for security or to comply with law, or where the data has been aggregated and anonymized.
Data from other connected services
Microsoft (Outlook calendar and mail, Teams links) and Zoom are treated on the same terms as Google data: used only to deliver the feature you connected them for, never sold, never used to train generalized AI models. Disconnecting the account in Settings stops all further access.
How AI processing works
Several Closr features — meeting summaries, prospect briefs, email drafting, the voice assistant, and lead research — send the relevant content to third-party AI providers to generate a result for you. That content is processed to serve your request and returned to your account.
We do not use your content, or content from your connected accounts, to train our own models or generalized AI models, and we contract with our AI providers on terms that prohibit them from doing so with your data.
AI output can be wrong. Summaries, transcripts, risk scores, and drafted replies are assistive and should be reviewed before you rely on or send them.
Recording meetings and calls
Where you enable the AI note-taker or the AI voice assistant, Closr captures audio, produces a transcript, and generates analysis from it. Recording laws differ by jurisdiction and many require the consent of every participant. You are responsible for obtaining that consent before recording. Recordings and transcripts belong to your account and are deleted when you delete them or close your account.
Separately, the voice guide on this website is our assistant. If you talk to it, we keep a transcript of the conversation and, when the guide tells you so before your microphone opens, the audio — so we can see what visitors ask and improve the answers. We do not attach a name, an account, or your IP address to it, and you can use the contact form instead if you would rather not be recorded.
Who we share data with
We do not sell personal data. We share it only with service providers who process it on our behalf, under contract, for the purposes below:
- Google Cloud / Firebase — application hosting, database, and file storage.
- Google (Gemini, Cloud Speech) — AI generation, speech-to-text, and text-to-speech.
- Twilio — telephony for the AI voice assistant.
- Airwallex — subscription payments and card storage.
- Email verification providers — validating lead email addresses, where that feature is enabled.
We may also disclose data where required by law, to enforce our terms, or to protect the rights and safety of users — and to an acquirer in a merger or sale, in which case this policy continues to apply until replaced with notice to you.
Where data is stored
Closr runs on Google Cloud infrastructure and your data may be processed in countries other than your own, including where our service providers operate. We rely on appropriate safeguards for those transfers.
Retention and deletion
- Account, booking, and CRM data is retained for as long as your account is active.
- Disconnecting a calendar or mailbox in Settings → Integrations immediately revokes our access and deletes the stored access and refresh tokens.
- Deleting your account removes your personal data and connected-account content within 30 days, except records we must keep for legal, tax, or fraud-prevention reasons.
- You can revoke Closr’s access to your Google Account at any time at myaccount.google.com/permissions, independently of anything you do in Closr.
Security
- All traffic is encrypted in transit with TLS, and data is encrypted at rest by our cloud provider.
- OAuth tokens and third-party API credentials are additionally encrypted at the application layer before storage, so a database copy alone does not yield access to your accounts.
- Access to production systems is restricted to personnel who need it.
No system is perfectly secure. If you believe your account has been compromised, contact us at team@ojhconsulting.com.
Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal data, to object to or restrict certain processing, and to withdraw consent. Most of this is self-service in Settings; for anything else, write to us and we will respond within the period required by applicable law.
If you booked a meeting with a Closr customer and want your data removed, contact that customer directly — they control it. We will help them action your request.
Children
Closr is a business tool and is not directed to anyone under 18. We do not knowingly collect data from children.
Changes to this policy
We will update this page when our practices change and revise the “last updated” date. Material changes will be notified by email or in-app before they take effect.
